The scenario

System design

A daily automation could select eligible CRM records, map approved name fields into a branded greeting template, and create a review-ready file for the preferred delivery channel.

Operating model

Relationship and marketing teams would approve the message, eligibility rules, template, and delivery timing. Exceptions and high-value records could require manual approval before sending.

The scenario

A hospitality group has a VIP programme with recorded birthday dates and channel preferences. It wants each opted-in guest to receive a greeting on the correct day, using the right name and an appropriate branded message.

Automation must not make the gesture careless. Consent, correct identity matching, channel preference, timing, and escalation rules are part of the experience.

System design

The eligibility layer: A daily query could select records with a birthday, valid consent, an approved channel, and all required personalisation fields. Records that fail a rule stop before rendering.

The template layer: A controlled greeting template would use a validated display name and a fixed message. Brand, localisation, name length, and fallback rules would be tested before activation.

The delivery layer: Make could coordinate the render and route an approved file to email or an authorised messaging provider. The workflow would record the source record, template version, approval state, and send status.

Same-day delivery is a design target, not a guarantee. Provider limits, review ownership, time zones, consent changes, and failed records would shape the final service level.

Operating model

Marketing owns the approved message and template. Relationship teams own guest eligibility and escalation rules. High-value or sensitive records can use manual approval, while routine records follow the agreed control path.

The workflow should minimise personal data, restrict access, honour deletion and opt-out requests, and define retention for generated files before live use.
